Position Description
The Office Assistant is responsible for providing excellent customer service, as the ‘face’ of the L’Occitane brand to all visitors, guests and Associates. Ensuring the smooth functioning of the Reception area including Goods In/Post Room and assisting the EA & PA with a range of Office Management responsibilities.
This is a 12 month fixed term contract working 20 hours per week. You will be required to work from our office in Edgware Road, London.
Major Responsibilities
- Perform reception duties in an efficient, professional and courteous manner
- Maintain H&S and security by following procedures, monitoring visitor logbook, issuing visitor badges
- Maintain a safe, clean & COVID safe reception area & office by complying with procedures, rules and regulations
- Manage the Post Room and associated daily duties efficiently, including incoming/outgoing daily courier dispatch
- Support with meeting setup including room bookings, setting up presentation equipment, refreshments and catering when required.
- Support the Office Manager with maintaining the central filing systems
- Responsible for ordering supplies and stationary for Head Office, including printer toners, cleaning equipment, kitchen supplies as required using preferred suppliers.
- Support Office Manager with supplier relationship management, including researching competitive prices for courier, stationery, etc to ensure that our suppliers are cost effective and meeting service level targets.
- Support with Fire Marshall duties including arranging Fire Drills and ensure the business is compliant with policies.
- Support the Office Manager with administrative duties including travel booking, expenses processing, and working with departments to reconcile and distribute information and reports.
What we need from you
- Excellent communication skills - spoken and written – in English
- Comfortable in a forward facing role, remaining professional at all times
- Strong proven IT skills and the ability to learn new systems
- Ability to manipulate, analyse and organise data in Excel is essential, alongside attention to detail and accuracy
- Ability to communicate at all levels through various methods
- Being able to plan, prioritise and structure own workload
